  • Sensitive records are visible to the right people only, by role.
  • Evidence sits beside the obligation it proves, ready for an audit.
  • An activity log shows who did what, when, and against which record.
  • Forms collect only what is needed and keep consent clear.

What a real build could include · read as plain text

What a real build could include

The pieces a production version would be assembled from, in plain terms.

  • Obligation register

Each requirement captured once with a category, site, owner and deadline.

  • Checklists and status

Track progress against each requirement, with completion that reflects real work.

  • Evidence register

Files linked to the obligations they prove, with who uploaded what and when.

  • Permission matrix

Role-based control over who can view, edit and approve each record.

  • Deadline tracking

Status reacts to due dates so due-soon and overdue obligations surface early.

  • Activity log

An append-only trail of who did what, when, against which record.

  • GDPR-aware forms

Labelled fields, purpose text and clear consent, collecting only what is needed.

Read plain explanation

The situation

SafeWorks Facilities (Facilities and SHEQ management). Audits, permissions and records are managed in spreadsheets and email. When something is missed there is no clear trail of who did what, when, and with what evidence - so an audit becomes a scramble. This demo shows how obligations, status, owners, deadlines and evidence sit together in one auditable record.

How it would be built

  1. Capture. Obligations and records are captured once, properly, with an owner and deadline.
  2. Track. Status, approvals and deadlines stay visible as work progresses.
  3. Prove. An auditable trail and linked evidence show the work that was done.

What the demo points out

  • 01. GDPR-aware forms. A report form preview where every field has a label and a short note on why it is collected. Forms collect only what is needed, explain why, and keep consent clear. Value: Cleaner data capture and a clear lawful basis.
  • 02. Audit tracking. A risk-assessment checklist with live completion, an owner and a deadline. Every requirement has a status, owner and deadline. Value: Nothing hidden in email or a forgotten spreadsheet tab.
  • 03. Permission controls. A permission matrix showing who can view, edit and approve, by role. Sensitive records can be visible to the right people only. Value: Reduced risk of the wrong person changing or approving a record.
  • 04. Document register. An evidence register holding the files that prove each control, beside the obligation. Evidence sits beside the obligation it proves. Value: Audit-ready records you can produce in seconds, not days.
  • 05. Deadline tracker. A due date you can change, which moves the record between on-track, due soon and overdue. Status reacts to the deadline, so slippage is impossible to ignore. Value: Overdue obligations surface early, not at the audit.
  • 06. Activity log. A log that records each action with who, what, when and the linked record. An immutable trail shows the work that was done. Value: You can evidence the chain of custody for any change.

What this demonstrates

  • Every obligation has a status, owner and deadline you can see at a glance.
  • Sensitive records are visible to the right people only, by role.
  • Evidence sits beside the obligation it proves, ready for an audit.
  • An activity log shows who did what, when, and against which record.
  • Forms collect only what is needed and keep consent clear.
